Terms and conditions
Our company complies with Peruvian regulations, and therefore our booking policies are based on current Peruvian law.
Basic Information
To confirm a reservation, we require the following personal details:
- Full legal name (exactly as it appears on your passport)
- Personal email address
- At least one emergency contact name and phone number
- Type of accommodation (if applicable)
- Passport number
- Nationality and issuing country of passport
- Date of birth
- Gender
Tour Deposit
To secure a booking for any tour or trek, a deposit of USD $200 per person is required. Payments can be made via PayPal or VISA (an additional 6% merchant fee applies). All deposits are non-refundable and non-transferable.
Your booking is considered confirmed once written confirmation has been issued by the operator or travel agent after the deposit is received. It is your responsibility to carefully review your confirmation and ensure that all names match your passport exactly.
Final Balance Payment
The remaining balance must be paid at least 48 hours prior to departure. Payment is accepted in cash (USD or Peruvian Soles) at our office.
If you are arriving in Cusco on the same day your tour departs, the final balance must be settled one week in advance via electronic payment. All transaction fees are the responsibility of the traveler. Torn or damaged bills are not accepted.
Machu Picchu Permits
Permits for the Inca Trail, Machu Picchu entry tickets, and train tickets are strictly non-transferable. Government regulations do not allow cancellations, changes of name, or date modifications.
In the event of an official trail closure for safety reasons, an alternative trek will be offered.
Holiday and Election Surcharges
An additional USD $35 per person applies to departures during:
- Christmas (Dec 22–25)
- New Year (Dec 29–Jan 1)
- Election days in Peru (due to legal obligations to vote)
This surcharge covers staff bonuses or legal fines.
Medical Information
- You must inform us of any medical conditions or allergies at the time of booking.
- Travelers should be in good physical condition. Those over 70 years old are required to present a current medical certificate of good health.
- It is your responsibility to ensure you are fit for the tour. Consult your physician for advice on vaccinations, fitness, and travel health.
- Pregnancy must be disclosed. Travelers over 24 weeks pregnant or with certain medical conditions may be denied participation if adequate arrangements cannot be made.
- The operator reserves the right to deny participation if your condition is deemed unsafe for yourself or others.
Travel Insurance
We strongly recommend obtaining comprehensive travel insurance that covers accidents, medical expenses, evacuation, cancellations, and loss of luggage.
Passport Requirement
You must bring your original passport on the trek. If your passport number changes between booking and departure, you must:
- Provide a copy of your new passport at least 10 days before your trek (USD $15 government update fee applies), or
- Bring both your old and new passports.
If details do not match your booking, entry may be denied.
Cancellations
Deposits are 100% non-refundable.
Additional cancellation penalties apply:
- Cancel within 6 weeks → 60% of total cost due
- Cancel within 2 weeks → 80% of total cost due
- Cancel within 7 days → 100% of total cost due
If a traveler is unable to continue due to illness during the trek, assistance will be provided, but refunds are not possible. Documentation may be provided for insurance claims.
Cooperation with Other Operators
If minimum group size is not met or staffing is insufficient, we reserve the right to collaborate with other licensed tour operators. Clients will be informed in advance.
Right to Use Image
By participating in our tours, you grant permission for your image, voice, or likeness to be used in promotional material (photos, videos, or electronic media) without additional compensation.
Extreme Circumstances
Events beyond our control (strikes, natural disasters, political unrest, etc.) may cause delays, changes, or cancellations. In such cases, refunds are not guaranteed. Alternatives may be offered when possible.
Tours and Treks
- Group tours may include travelers of different fitness levels and languages. Guides will accommodate all participants as best as possible.
- If you wish to separate from the group, you must inform your guide.
- The company takes all reasonable precautions but is not responsible for loss, accidents, illness, strikes, or weather issues. Travel insurance is the traveler’s responsibility.
Pre-Trek Briefing
Briefings are held the evening before departure at our office (6:00 PM). If you cannot attend, please arrange an alternative time in advance.
Strikes in Peru
Strikes occasionally occur and may affect logistics. Adjustments, such as early departures, may be required. Safety will always be prioritized.
